The Philosophy: High Repetition, Clear Inputs
Before I tell you about specific use cases, let me share the framework I use to evaluate whether something is worth automating with Make.com.
The ideal Make.com use case has these traits:
- High repetition: The task happens many times per week, not once a year.
- Clear inputs: You know exactly what data is going in and what format it arrives in.
- Clear outputs: You know exactly what the result should look like.
- Rule-based: The logic follows consistent rules, not judgment calls.
- Value is obvious: The person doing the work (or the person who uses the result) can immediately tell it's better than manual work.
When I evaluate a potential automation, I ask myself: "Would I build this if I had to build it twice this week?" If the answer is no, it's probably not worth the effort. But if it happens daily or multiple times per day, I'm all in.
Let me walk through the successful ones, and then I'll be honest about what didn't work.
Lead Capture: Shadow Hound Resume Optimizer
This is my most successful tool. Shadow Hound takes a resume (plain text), parses it with AI, identifies weaknesses, and generates specific optimization suggestions. Users get an email with the feedback.
Why it works:
- People are constantly optimizing their resumes. High repetition.
- Resume input is structured (name, experience, skills). Clear inputs.
- AI-generated feedback is always better than generic advice. The value is obvious.
- The logic is straightforward: parse → analyze → generate feedback → email.
The Make.com flow: webhook receives resume → parse with regex and AI → run through OpenAI with a custom system prompt → format results → send email. That's it.
One lesson I learned: people don't always read emails. So I also built a web interface where they can paste their resume and see results immediately. The email is a backup. This small decision doubled engagement.
Content Generation: Social Spark and Tailored Social Post
Social Spark lets users choose a topic and content type (LinkedIn post, Twitter thread, or blog outline). It generates content personalized to their voice.
Tailored Social Post is the reverse: paste a finished piece of content, select a platform, and it reformats it for that platform.
Why they work:
- Content creators are always generating posts. Multiple times per day.

The technical pattern is identical in both: webhook → router (which platform?) → OpenAI with platform-specific system prompt → format response → return to frontend.
I made one critical mistake early: trying to do too much in the system prompt. I wanted the AI to generate perfect posts on the first try. It doesn't. Now I use a two-step process: generate rough content → refine with a second pass through OpenAI. The quality jumped dramatically.
Reporting: KPI Dashboard and Automated Summaries
The KPI Dashboard is different from the others. It's not a user-facing tool. It's internal. Every day, it pulls data from multiple sources (Google Analytics, email metrics, conversion tracking), aggregates it, and updates an Airtable base with daily metrics.

Scheduling automations is trickier than webhook-triggered ones. If something breaks, you don't notice until next week. I learned to add error logging: if any step fails, I get an email immediately with the error message. Worth the extra effort.
User Tool Delivery: Delivering Tools to Users
Voice ToDo is a voice-to-text tool. Users record a voice memo through a simple web interface, and Make.com transcribes it, parses out the to-do items, saves them to a database, and emails back a formatted list.
This is pure delivery. The value is in the convenience of voice input.
Why it works:

- Voice input is the clear value prop.
- The AI parsing handles natural language well enough.
- Users get immediate feedback (they see their to-dos parsed back to them).

I almost killed this tool in month three because transcription costs felt high. But the usage was steady, and users loved it. Now I think of it as a feature, not a cost center. Bad metric mindset.
The Use Cases That Failed (Be Honest)
I need to tell you about the automations that didn't work, because they're instructive.
Automated Lead Nurturing: I tried building an automated email sequence triggered by signup. Seemed obvious: new user signs up → add to sequence → send Day 1 email → wait 2 days → send Day 3 email → etc. The problem? Make.com isn't great at complex delays and conditional branching. - Can I test this with real users in one week?
If the answer to all three is yes, build it. If not, wait.
