What an AI Workflow Actually Means
An AI workflow is not "I call ChatGPT to write an email." That's just a tool. An AI workflow is a multi-step automated process where AI is one part of a larger system. Examples: form submission triggers AI analysis, which triggers a database update, which triggers a notification. Or: incoming email triggers AI classification, which routes it to the right department, which logs the action.
The difference matters because it changes how you architect the system. A single API call is trivial. But when you're chaining AI calls, handling failures, transforming outputs, and routing based on AI results—that's where real value lives.
I built all seven of my tools using this pattern: trigger comes in, AI processes it, result is stored or delivered. No manual steps. No human waiting. The AI is embedded in an autonomous workflow.
Choosing Your AI Layer: OpenAI vs. Claude vs. Others
OpenAI (GPT-4, GPT-4 Turbo): The most established. Excellent for text generation, creative writing, analysis. Built-in support in most automation platforms. Cost is moderate. Downside: sometimes verbose, sometimes takes longer. I use this for content generation.
Claude (Anthropic): My current preference for workflows. Better at following complex instructions. More consistent JSON output (crucial for automation). Actually cheaper per token. Slightly longer response time, but more reliable. I use Claude for all my resume analysis and content categorization.
Gemini (Google): Competent but less common in automation platforms. Reasonable cost. Not my first choice for workflows.
Open-source (Llama via Together AI): Can be self-hosted. Super cheap. But less reliable than OpenAI/Claude. I don't recommend this for production workflows yet.
My recommendation: Start with Claude or GPT-4 Turbo. They're both solid. OpenAI is slightly more reliable for creative work. Claude is better for structured analysis and JSON output.
Prompt Engineering in Make.com: System Prompts That Work
Your prompt is your contract with the AI. Make it explicit. Make it detailed. Make it testable.
Don't do this: "Analyze this resume." The AI will give you prose. You'll get back a wall of text. You'll spend modules parsing it.
Do this instead: "You are a resume analyzer. Read the resume and return a JSON object with these exact fields: strengths (array of strings), improvements (array), match_score (0-100), key_skills (array). Return ONLY the JSON, no explanation."
The difference: the second prompt tells the AI exactly what format you want. When the AI returns JSON, Make.com can parse it directly. No text processing. No guessing. It just works.
Here's my system prompt template I use for all structured tasks:
- You are a [role/expert]. Your job is to [specific task].
- Input: [describe what you're getting].
- Output: [describe the exact format—JSON with these fields OR markdown with these sections OR CSV with these columns].
- Rules: [any constraints—be concise, no opinions, numeric scores only, etc.].
- Return ONLY the [output format]. No explanation. No preamble.
Test your prompt five times in ChatGPT or Claude directly before putting it in Make.com. If it fails once, it'll fail in your workflow.
Chaining AI Calls for Better Results
One of my biggest lessons: never ask the AI to do everything at once. Ask it to do one thing really well, then ask it to do the next thing based on the result.
Example: Blog Post Generator. I could ask Claude: "Write a blog post outline and then write the full blog post." It works, but slow (45 seconds) and expensive.
Instead: First call asks Claude to generate an outline. It returns JSON. Second call uses that outline—"Write section 1: [outline from step 1]." Third call: "Write section 2: [outline]." Fourth call: "Write section 3: [outline]." These can run in parallel. Total time: 18 seconds. Total cost: lower.
Why? Because smaller prompts are faster. Parallel execution is faster. And if one section fails, you don't have to re-do the whole post.
General pattern: Start with a "small, fast" AI call (outline, classification, summary). Then chain 2-3 follow-up calls that use the first result. Run independent calls in parallel.
The Webhook-to-AI Pattern: My Core Architecture
This is the pattern I use for every single tool:
- User submits via form or API (webhook trigger in Make.com).
- Make.com receives the data and validates it (is email present? Is text under 5000 characters?).
- Call AI with a detailed system prompt + user input.
- Parse AI response (extract JSON or markdown).
- Store result (in database, Google Sheets, or Airtable).
- Return result to user (email, file download, or API response).
- Log the action (timestamp, user ID, success/failure).
This pattern scales. It handles errors. It's auditable. Every tool follows this.
Real AI Workflow Examples
Resume Optimizer (Shadow Hound): User uploads resume and job description. Webhook fires. Make.com reads both files. Calls Claude with prompt: "Compare this resume to this job description. Return JSON with match score, missing keywords, and improvement suggestions." Parses response. Generates PDF with suggestions. Emails to user. Done in 3 seconds.
Social Post Generator (Social Spark): User submits topic and tone. Webhook fires. Make.com calls Claude (outline), then calls Claude again 3 times (for three different social post angles). Aggregates results. Returns as formatted email. Stores in Airtable. All parallel—total 12 seconds.
Blog Post Generator: User submits keyword. Claude generates outline. Then for each section in the outline, Claude writes the content in parallel. Aggregates. Formats as HTML. Emails to user. Total: ~20 seconds, ~2000 words of content generated.
Notice the pattern? Webhook → AI → Parse → Store/Return. That's it. Everything else is variation on this theme.
Common AI Workflow Mistakes (I've Made All of Them)
Mistake 1: No Error Handling. My first version of Blog Post Generator had zero error handling. If Claude returned malformed JSON, the whole scenario broke. Now: every AI call is wrapped in a try-catch. If it fails, the user gets a notification saying "try again in a moment," and I get an alert.
Mistake 2: Unclear Prompts. I initially wrote prompts like "Write a good summary." The AI writes three paragraphs of prose. I need JSON. I now write: "Return a JSON object with these exact fields: summary (string, max 200 chars), key_points (array of strings), sentiment (positive/neutral/negative)."
Mistake 3: Not Testing the Prompt Offline First. Spend 10 minutes testing your prompt in ChatGPT before putting it in Make.com. If it fails there, it'll definitely fail in the workflow.
Mistake 4: Asking for Too Much in One Call. I used to ask Claude to outline, write, format, and email a blog post. Now I break it into steps. Faster, cheaper, more reliable.
Mistake 5: Not Validating Inputs. What if someone submits a 50,000-word resume? What if they submit binary data? Validate inputs before they hit the AI. Save money and failures.
Mistake 6: Not Logging Results. How do you know what worked? How do you debug? Log everything: user ID, input, AI response, final result, execution time. Store in a database or spreadsheet. Future you will thank present you.
Building AI Workflows Is Not Complicated—But It Requires Thinking
The good news: you don't need to be a software engineer. Make.com handles all the plumbing. The bad news: you need to think through your workflow before you build it. What are the edge cases? What if the AI fails? What data do you need to log?
Start small. Build your first workflow with a single AI call. Get it working. Then add error handling. Then add logging. Then make it faster by chaining calls or parallelizing steps. That's the progression I used, and it worked.
The barrier to entry is low, but the barrier to "production-ready" is real. Plan accordingly. Test thoroughly. And always, always wrap AI calls in error handling.
