What "Fully Automated" Actually Means
When I say a process is "fully automated," I mean: data enters the system, Make processes it end-to-end, and the result comes out without me touching it. Zero manual steps.
Not "mostly automated" (where I still have to review and approve). Not "semi-automated" (where I do half, Make does half). Fully automated means I could disappear for a week and the process would run flawlessly without me.
Most of what I've built falls into this category, which is why I can run 7 tools alongside my full-time job. These processes don't require my attention. They run every day, handle edge cases, log errors, and notify me if anything breaks.
The ones that aren't fully automated are the ones that require creative judgment—writing, decision-making, or human interpretation. Those I do manually and don't pretend otherwise.
The Content Publishing Pipeline: Write → Publish → Social → Newsletter
Here's what happens when I publish a blog post or article:
Manual step: I write the post in my editor and save it to a folder called "Ready to Publish."
Automated pipeline (fully hands-off):
- Make checks my publishing folder every hour
- When it finds a new post, it reads the content and extracts the metadata (title, summary, date)
- It publishes to my blog platform automatically
- It creates social media versions (tweet, LinkedIn post, thread) by sending the content to OpenAI
- It queues those posts to Twitter/X and LinkedIn at specific times
- It adds the post to my newsletter draft as "New Blog Post" with a link
- It creates an Airtable record for analytics tracking
This entire pipeline runs without me touching anything after I write. I write once. Everything else—publishing, social distribution, newsletter inclusion, tracking—is automated. I save 30 minutes per post by not manually scheduling, reformatting, and cross-posting.
Lead and Subscriber Capture: From Submission to Database
Every tool I've built has a contact form or newsletter signup. Here's what happens automatically when someone submits data:
Shadow Hound (resume submissions): User uploads resume → Webhook sends to Make → Make extracts text → Calls OpenAI for optimization → Stores in Airtable "Optimized Resumes" table → Returns result to user. Total: completely hands-off. I have zero manual steps. Users see their optimized resume within seconds.
Social Spark (topic submissions): User enters topic and tone → Webhook to Make → OpenAI generates 5 variations → Stores all variations in Airtable → Returns variations to user → Logs engagement in analytics table. Again, zero manual steps. Takes 3-5 seconds per user.
Newsletter signups (all tools): User enters email → Make validates it (not a spam address) → Checks if they're already in Airtable (prevents duplicates) → Adds them to the Subscribers table → Sends welcome email → Logs signup in analytics. Fully automated. No manual review.
The key is that I've thought through all the edge cases:
- What if the email is invalid? (validation catches it)
- What if they're already subscribed? (duplicate check prevents double-signup)
- What if the OpenAI API times out? (error handler catches it and logs the issue)
- What if someone tries to submit a malicious input? (sanitization prevents it)
The more edge cases you handle during the build, the more truly automated your process becomes.
Reporting and KPIs: The Monitoring Dashboard
I have 7 tools. Each one has daily usage, errors, and revenue metrics. I need to know if they're all healthy. My KPI Dashboard automation handles this:
Every morning at 9am: Make runs a scenario that:
- Queries all 7 tool databases for yesterday's usage numbers
- Calculates KPIs (signups, submissions, errors, revenue)
- Formats a beautiful email summary with each tool's status
- Sends it to my inbox
I spend 2 minutes reading it with my coffee and immediately know if anything needs attention. If Shadow Hound had 200 requests but only 15 conversions, that's a red flag. If Social Spark had 0 usage, that's concerning. The dashboard makes these patterns instantly visible.
This is fully automated. No manual data entry. No logging into separate dashboards. Just an email every morning with the exact metrics I need to see.
User Tool Delivery: Instant Access to Results
When someone uses Shadow Hound or Social Spark, they need their result immediately. Here's how that's fully automated:
Shadow Hound resume optimization: User submits resume → Make processes it → Optimized resume is stored in Airtable AND returned via webhook in the same request. User sees their result within 3-5 seconds. No queues. No "we'll email you later." Instant.
Blog Post Generator: User provides keywords → Make generates 5 unique blog posts with OpenAI → Stores all posts in Airtable → Returns all posts immediately via webhook. User downloads them instantly.
Voice ToDo: User sends voice message (converts to text automatically) → Make parses the message → Extracts action items using OpenAI → Stores tasks in Airtable → Returns confirmation message immediately. All within 2-3 seconds.
This instant delivery is what makes these tools feel polished. There's no waiting. There's no "your request is in a queue." It's automatic, immediate, and reliable.
Notifications and Alerts: Knowing When Something Matters
I get alerts for:
- User signups: When someone subscribes to a tool, Slack tells me immediately
- Critical errors: If an API call fails repeatedly, I get an email so I can fix it
- Performance anomalies: If a tool's usage spikes or drops significantly, I'm notified
- Daily summaries: Every morning, a report of all activity across all tools
These are all automated rules. I set them up once, and they've been running for months. I never have to manually check on things—Make tells me when something needs my attention.
What I Still Do Manually (And Why)
Honest answer: some things aren't automated and shouldn't be.
Writing: I still write all my content manually. Blog posts, email campaigns, tool descriptions—all me. I could use AI to generate these, but I choose not to. The voice and quality matter too much. (Though I do use Make to distribute what I write.)
Tool feature decisions: I decide what new features to build. Make executes those decisions, but the strategic thinking is all manual. Should Shadow Hound add a LinkedIn parsing feature? That requires my judgment.
Responding to support emails: When someone emails with a bug or question, I read and respond personally. I could automate canned responses, but genuine support is a competitive advantage.
Building new tools: Each time I build a new tool, I start from scratch. The architecture, the design, the initial scenarios—all manual. Once it's built and running, automation takes over, but the creation phase is hands-on.
Code maintenance: Sometimes APIs change. Sometimes workflows break for unexpected reasons. Debugging and fixing takes manual work. I've automated monitoring to alert me when things break, but the fixing is still manual.
The trick is knowing what to automate and what not to. Automate the repetitive, predictable work. Keep the thinking and creativity manual.
The System in Action: A Real Day
Here's what actually happens on a typical day without me doing anything:
- 9:00 AM: KPI Dashboard email arrives. Everything's healthy.
- 10:30 AM: Shadow Hound processes 3 resume submissions. Three people get optimized resumes within seconds.
- 2:15 PM: Social Spark gets 2 requests. Two people get 5 post variations each.
- 4:00 PM: Someone signs up for Voice ToDo. They get a welcome email automatically.
- 5:00 PM: Daily report email shows all usage stats for the day. I spend 2 minutes reviewing it.
- Late night: Blog Post Generator runs its scheduled cleanup (archiving old drafts, updating analytics).
Throughout all this, I haven't touched a single scenario. I haven't logged into Make. I haven't done any manual work. The system just runs.
If something had broken—an API error, a database issue—I'd get an alert. But most days, I get no errors. Most days, everything runs silently in the background while I focus on my day job and building new things.
Lessons From Building These Automations
Lesson 1: Real automation requires thinking through edge cases. The first version of Shadow Hound didn't handle all resume formats. The second version didn't handle very large files. The current version handles both plus 20 other edge cases. Each one added error handling.
Lesson 2: Monitoring is part of the automation. If you can't see that something's broken, it's not truly automated. Automated monitoring (alerts, dashboards, logs) is just as important as the automation itself.
Lesson 3: User-facing automation is harder than internal automation. Internal processes can fail silently. User-facing ones must always return a result—either the real result or a helpful error message. That's the difference between a tool that feels professional and one that feels broken.
Lesson 4: Fully automated processes free you to do more important work. The 3-4 hours per week that these automations save me? That's time I spend building new tools, improving existing ones, writing this content. Automation compounds—each automated process creates space for building something better.
Lesson 5: Maintenance is ongoing. Automation isn't "set and forget." APIs change. Usage patterns change. New edge cases appear. I review my scenarios quarterly and optimize or fix them. It's worth the maintenance because the time savings are so significant.
These processes run 24/7, handling hundreds of requests weekly, with nearly zero manual intervention. That's what true automation looks like. Not "helps a little." Full automation that actually changes how you work.
